2011/12 - Administrative Computer Replacement

Principals/Department Heads or their designees (with the principal/department head permission) should submit a form at https://docs.google.com/spreadsheet/viewform?formkey=dG5tZkUzTnk3NGZwcS04dEx6SWhCVVE6MQ requesting that IT order equipment for administrative computer replacement. The request should include the type of computer requested (Apple or Dell; Desktop or Laptop); the school/department name, ship to code, and cost center; the property number of the computer it will be replacing; and a brief description of who will be using the replacement and how it will be used. The status of each request will be updated on a periodic basis at https://docs.google.com/spreadsheet/ccc?key=0ApLi6I3Gok8OdG5tZkUzTnk3NGZwcS04dEx6SWhCVVE&hl=en_US.

Requests will be filled based on the following priorities:

1) Computers that are no longer working will be top priority.

2) Computers that are less than five years old but are used by employees who have a specific need for a newer computer will be second priority. Computers less than five years old that are replaced will be repurposed to other uses.

3) Computers that are greater than five years old and used by a full time employee will be top priority (property tags prior to C030900000).

Note that the IT Department processes requests regularly but many orders require School Board approval. No additional orders will be placed once the funds have been fully expended or after the district's deadline for purchasing equipment (3/15/13).

    Help a new guy here with the following questions:

    • Can this be submitted at anytime, or is there a more logical timeframe to make these requests?
    • I noticed Teacher computers in the drop down.  Teachers are categorized as Admins in this request?
    • Should any consideration regarding school funds etc be taken into account for admin replacement on our end (school tech) or is that irrelevant?

    Funds are usually available from mid-September to the end of March. Requests made at other times wait unless it's an emergency. Requests are stacking up right now until the new budget is approved.

    These funds are only for computers in administrative offices. Classroom computers are not eligible.

    I prefer that we use these funds for all administrative computer replacements. That leaves your school funds (if any are available) for use in the classroom.

    Due to the pending Purchasing deadline, I have stopped accepting requests for administrative computer replacement for this school year. I will begin accepting requests again in July once we start the new fiscal year.
